About the university

The University Of Georgia is one of the largest private universities in Georgia, with more than 6,000 local and international students. The university employs over 1,200 professionals from all over the world (Europe, America, Asia).

According to the 2021 research by the international organization Webometrics, the University Of Georgia is the highest-ranking private university in the country.

Challenge

At the University of Georgia, thousands of documents required signatures from employees, students, and other partners every month. However, a lot of bureaucracies were involved in these processes, specifically, lecturers’ and students' necessity to visit the university, printing papers, signing by hand, archiving, monitoring, and finally registering documents.

Signing was particularly complicated for students living abroad and studying remotely, as documents had to be dispatched via post. Naturally, each step consumed time, financial resources, and caused inconvenience. The pandemic disrupted the whole process even further because signing became more challenging when working remotely.

Following the university's digital mindset, the team was looking for a technological solution for this bureaucratic issue, ensuring the legal validity of document signatures while keeping the process simple. 

Solution

Signify was integrated with the University’s online management system named ONLINE UG with the Signify API. Commencing in October 2021, the project successfully achieved full automation in just 3 weeks.

  • During the initial phase, Signify's electronic signature platform entirely digitized the employment contract signing.
  • Consequently, the university's HR service generates an employment contract and sends it directly from its management system. 
  • Meanwhile, employees and students can sign the document from anywhere in the world, using any device, after receiving it via email.

The digital signing approach initially implemented in the HR department has now been expanded to the student administration service, enabling the digitization of various signing procedures within the educational institution. The legal department has also adopted this approach, facilitating the digitization of all contracts and orders. Starting in September 2022, the university administration decided to utilize Signify for signing contracts with international students as well.

Signify has optimized and transformed our document signing process. We no longer need to print, wait for signers, or dispatch documents to physical addresses via couriers.

This streamlined approach has significantly increased employee satisfaction and, most importantly, reduced our environmental impact by minimizing paper consumption.

In just 9 months following the implementation of Signify, approximately 10,000 documents were signed at the University Of Georgia. Over 100,000 papers were saved in addition to time and human resources. During this period, the process of signing contracts with lecturers and students was simplified, and contracting processes accelerated 5 times.
